Q: I can’t log in to the DOCIS. System shows “You don’t have any students yet in the system.”
A: If you are a student and an employee, this usually means that you have logged in using your staff role. The system may remember your LUT staff credentials. Please try logging in using another browser or private/incognito mode and make sure you use your student credentials, similar to SISU.
Q: I can’t log in to the DOCIS. System shows “Incorrect user ID or password”
A: Check whether your student account is working, for example by logging in to Sisu. The error 'Incorrect user ID or password' usually appears when the password for the student account has expired or there is another issue with the student account.
If you cannot see your study rights or studies in Sisu, you have likely signed in with your staff account. Please open a private/incognito browser window and log in to DOCIS using your student account (@student.lut.fi -address). It is also recommended to update the password for your student account first at https://id.lut.fi/ and then try logging in again.
Q: Is DOCIS the main system for study credit information?
A: No. DOCIS shows integrated data from other systems and SISU remains the primary and most reliable source for official study credit information. There may still be some limitations in how credits are displayed in DOCIS.
Q: How can external supervisors log in to DOCIS?
A: External supervisors log in:
Note! External supervisors should use the email address registered in DOCIS for communication with LUT. If you are unsure which email your external supervisor uses, you can check it in your student profile in DOCIS.
Q: What are progress meetings?
A: Progress meetings are regular meetings between the doctoral student and all supervisors to review the overall progress of doctoral studies and research. In DOCIS, these meetings provide a structured way to plan, document, and confirm key discussions.
During the meeting :
Review overall progress of research and studies
Discuss publication status and dissertation timeline
Reflect on career development and professional networking
Confirm or adjust dissertation submission estimate
DOCIS progress meetings help to maintain a shared understanding of progress, support structured supervision, and create a clear record of the doctoral journey.
Q: What makes progress meetings different from other meetings with a supervisor?
A: Regular supervision meetings:
Informal meetings between the doctoral student and one supervisor
Held as often as needed
Focus on current research issues and immediate tasks
Not always involving the full supervision team
Progress meetings recorded in DOCIS (twice per year):
Structured meetings with the doctoral student and all supervisors
Review overall progress of doctoral studies and research
Discuss publications, completed and planned studies, dissertation timeline, and career development
Help align expectations and identify challenges early
Q: Will the data recorded in DOCIS be used for HR purposes, such as development discussions or contract renewal?
A: No. If you are employed at LUT, you have two separate roles: doctoral student and employee. DOCIS is used only to support your doctoral studies and is not connected to your employment relationship or HR processes.
Q: Why do I see 1 ECTS for supplementary studies in DOCIS?
A: The value of 1 ECTS indicates that supplementary studies have been assigned, not the actual number of credits. If you notice 1 ECTS in your information, you can contact contact doctoral.studies@lut.fi so that the correct number of credits can be updated manually. Unfortunately, this cannot be corrected automatically, as the original credit amounts are not available in the previous data.
Q: Can I change a supervisor or add a new one in DOCIS?
A: Changes in supervision are handled through an official process and cannot be made directly in DOCIS. For guidance please contact doctoral.studies@lut.fi .
