Log in to DOCIS with your student credentials (student.lut.fi) and add the following information or check that it is correct:

• Title of the dissertation
• Type of the dissertation (article-based or monograph)
• Information regarding the publications included in the dissertation
  • Title of the publication
  • Name of the publication channel
  • Status (Under review or Accepted). If your dissertation includes submitted (Under review) articles, the name of the publication channel is not mentioned in  the dissertation manuscript list of publications or on the publication cover page. Choose the Accepted status also when the article has already been published and add a note about it in the comment field, if you wish.
  • Information about being the main author
  • If applicable, a clarification of co-authored articles included in your dissertation which have already been published or will be published in another doctoral or licentiate thesis/dissertation. The clarification should include the following information:
    • whose thesis and when has the article been published or will be published in
    • what has been your own contribution to the article
    • what is the contribution of the other author, who includes the article in their thesis
    • confirmation that you have agreed together to include the article in both theses
    • Note that both your own contribution as well as the contribution of the other co-author utilizing the same article in their thesis must be described in the dissertation manuscript after the List of publications.  Mention also that the article is published in two dissertations.
• Name of the company performing the language check of the dissertation

Upload the dissertation manuscript for preliminary examination in DOCIS as one PDF-file (Dissertation tab à Dissertation manuscript for preliminary examination). Please take into account the following requirements:

• Make sure to use the latest dissertation template from the Academic Library ligbuides.
• Before converting the document into PDF, ensure that you have made the document accessible according to the LUT Academic Library instructions. The confidentiality label must be Public.
• In an article-based dissertation all publications must be included.  It is easiest to combine your own intro to the publications in PDF format in Adobe DC or PDF Xchange editor.
• The manuscript must be language checked and the Turnitin-report must be approved by the coordinating supervisor.

Once all the information mentioned above is correct and the manuscript has been uploaded, apply for starting the dissertation process in DOCIS. LUT Doctoral School and your supervisors will automatically receive a notification about your application.

The coordinating supervisor will submit the proposal for preliminary examiners and its attachments in DOCIS (for instructions, please see LUT intra, restricted access) and confirms that the manuscript is ready for preliminary examination and that the Turnitin-report has been accepted. After the supervisor’s confirmation, the student and LUT Doctoral School will automatically receive a notification about the proposed preliminary examiners and the matter will included in the agenda for the next Dissertation Committee meeting.

If the Dissertation Committee decides to start the preliminary examination, LUT Doctoral School will notify the preliminary examiners, the student and the supervisors about the decision after the meeting, and send a link to DOCIS, where the preliminary examiners can download the dissertation manuscript and instructions for the preliminary examination statement.

The preliminary examiners will submit their statements in DOCIS within one month of receiving the manuscript, or according to the schedule agreed with the supervisor. If the preliminary examiners request changes to the manuscript, the preliminary examination time may be longer. The student and the supervisors will receive a notification once the statements are available in DOCIS. Additionally, the student must confirm having seen the statements in the system. LUT Doctoral School will send the payment forms for the reward to preliminary examiners.

Once both preliminary examination statements have arrived, the student and the supervisors will receive more instructions regarding the permission to print, opponent appointment and the public examination. The Academic Council makes the decision about the permission to print based on the preliminary examination statements.

In case the Dissertation Committee considers that the dissertation process cannot be started, LUT Doctoral School informs the student/supervisors and sends them the statement of the grounds for this decision. In this case the student may choose to withdraw their application to start the dissertation process, which means that the process is not started. Another option is that the student asks the matter to be taken to the Academic Council to be decided. In the latter case the student/supervisors may submit a response letter to the Dissertation Committee statement.

Provost Mari Kallioinen-Mänttäri acts as the chair of the Dissertation Committee (starting 1.6.2025). Professor Pedro Nardelli acts as the vice chair.
